Acceptable Use Policy

This Acceptable Use Policy (“AUP”) governs use of Proxara (the “Service”) and forms part of the Master Subscription Agreement (the “Agreement”). Capitalized terms not defined here have the meanings in the Agreement.

1. Permitted use

Customer may use the Service only for its own internal business, through its own Authorized Users, within the scope of its Order Form. Customer is responsible for its Authorized Users and for having the right to process the files they select.

2. Prohibited use

Customer and its Authorized Users must not:

  • submit files that Customer has no right to process, or use the Service unlawfully or in violation of anyone’s rights;
  • give the Windows installer, the company setup link, or access to the Service to anyone outside Customer’s Authorized Users;
  • use the Service to process files for another organization, or resell, sublicense or provide the Service to a third party, without Proxara’s written agreement;
  • use tags, restoration or the Service to try to identify people or values in files that did not come from Customer, or to obtain another customer’s data;
  • try to defeat, bypass or tamper with the Service’s access controls, verification or restoration checks;
  • modify the Windows application, extract its credentials, or use them outside the application;
  • submit protected health information (see HIPAA);
  • introduce malware, send deliberately malformed files to disrupt the Service, or send traffic intended to overload it;
  • probe or test the Service for vulnerabilities without Proxara’s prior written permission, except where the law preserves that right; or
  • reverse engineer the Service or derive its source code, except where the law expressly allows it.

3. Customer responsibilities

Customer must:

  • make sure Authorized Users review each returned copy before sharing it;
  • decide which AI providers and other recipients may receive returned copies, under Customer’s own agreements with them;
  • obtain any client consent, employee notice or professional authorization its use requires;
  • remove the Windows application from the devices of people who leave Customer or should no longer use it; and
  • tell Proxara promptly if an installer or setup link may have reached someone outside Customer, or if it suspects other misuse.

4. Enforcement

Proxara may investigate a suspected violation and may restrict or suspend affected access where reasonably necessary to prevent harm, protect Customer Data or comply with law. Where circumstances allow, Proxara will notify Customer first and give it a reasonable chance to cure. Serious or repeated violations are handled under the Agreement.

5. Reporting and changes

Report security concerns to security@proxara.ai and other questions to support@proxara.ai. Do not attach client documents.

Proxara may update this AUP. Material changes apply as the Agreement or Order Form states.
